Help & Frequently Asked Questions (FAQs)
Introduction
Welcome to the Virgin Farms Web Ordering System.
Our online shopping experience will give you access to future floral inventory to pre-book orders.
Let’s get started! To access the dashboard, go to www.virginfarms.net. Log in with your credentials and you’ll be redirected to your customer dashboard. On the left navigation panel, you can access inventory, view your web orders, receive notifications, and manage your shipping addresses.
To view inventory, choose a product category: Virgin Farms Flowers or Dutch Flowers. To alternate shopping between categories, go to the dashboard. All products will be added to the same cart with the same shipping date. To begin an order, let’s select a few details for your shipping information. In the first drop-down menu, select new order, general add-on if you are adding to a standing order, or add-on to an existing web order ID. Next, choose a ship date on the calendar menu. If products are available for the date you choose, an inventory list will populate. Otherwise, dates with no inventory will show no products available. Then, choose a carrier. This is the shipping method you wish to use for delivery. All orders arrive the next day with the exception of Hawaii and Alaska customers, please allow 2 days for delivery.
In the ship-to menu, your usual address is selected by default. If you need to ship your order elsewhere, you can add another address by clicking the + sign. Once you’ve added the address, it will appear as an option in the ship-to menu. Now we’re ready to begin shopping for flowers.
Let’s continue our lesson in the next tutorial: “How to Order.”
How to Order Flowers
Now you’re ready to add products to your cart. In the Order Qty column, type a number to indicate how many units you would like to add to your cart. In the actions column next to it, click the + sign or press Enter. Your items will appear in your preview cart at the top right-hand corner. Repeat this step for each item.
A checkout timer indicates your session time. Complete your shopping within the allotted time, otherwise, products in your cart will be returned to the inventory.
At the top right of your dashboard, you can click the cart to preview your items. If your box capacity is met, you can click “view cart” to continue to the checkout page. You’ll also see your order subtotal.
At the top left, “Click to see box details” is a reference for box capacity. This guide helps you determine how many bunches fit in each box. Whether you purchase enough flowers for one box or multiple boxes, we accommodate your needs.
Let’s review the checkout page. This is a summary of your items. View the breakdown of price per stem or unit, the unit pack, and quantities of each variety purchased. You may edit quantities on this page and delete an entire line item by clicking the action button.
On the bottom left corner, there’s a comment box where you can include notes for your account manager regarding your order. For instance, if you would like posters or specify payment terms, you can include these instructions in Order Notes.
Now you’re ready to check out. Click the green checkout button, and a prompt will appear to proceed. Once you accept, your order will be sent to your account manager to confirm it. If there is a conflict with the order, your representative will contact you to make adjustments.
In the next tutorial, we will learn how to review your orders in the dashboard.
Choosing an Order Type
- New Order: Choose this option when placing a new online order.
- Add-On General: Choose this option if you have a standing order with your account manager, and you would like to add more products to the order shipping on the same date.
- Add-On WO(#): If you placed a web order (WO), the system assigns a number to your order (Example: Add-On WO#55). It will appear in the drop-down menu. If you want to add to a web order that has not shipped yet, choose this option. Proceed to choose your items and check out. Your account manager will receive a notification and confirm your add-on web order.

How to Review Your Orders
In the orders tab on the dashboard, click to review current and past orders.
Click on the order ID in the left column to open the collapsed menu for that order. You will see the item summary for that order and details such as quantity, unit price, and unit subtotal. If you add on to an existing web order, changes will reflect and appear in gray as added items.
The status of your order will indicate completed when the order is confirmed to ship. To hide the collapsible menu, simply click on the order ID again.
Keep in mind, once an order has been submitted, you cannot alter it or delete it. If you forgot to add items to your order, you may begin an add-on order and add to an existing web order.
As always, you may contact our team, and we will gladly assist you.

Frequently Asked Questions (Web Shop)
How do I order?
Refer to our video for step-by-step instructions.
When will my order arrive?
Your flowers will arrive the day after the ship date you choose (next day). Hawaii and Alaska customers may need two days for arrival.
How is my order shipped?
We ship flowers via FedEx Priority Overnight service. These trucks are refrigerated, maintaining your flowers cool and fresh during their journey to you. Other options include trucking lines, which you may find on the inventory page (Enter your shipping information). We also offer local delivery service to West Palm Beach every Tuesday.
Which order option do I choose?
New Order: A new online order. (You have no standing order with your account manager.)
Add-On General: You have a standing order, and you want to add to that order from inventory online. Please choose the ship date that corresponds to your standing order’s ship date that week.
Add-On WO#: Add to an existing web order. You may have placed an order online and checked out, but you need more flowers. In the drop-down menu, choose the web order # to add to the order. Keep in mind, you may only add to web orders that have not shipped.
I’m choosing a date, but there’s no inventory.
When you choose a ship date, if there is inventory available, a list will populate. Otherwise, we have no products for that date, and you may need to call your account manager for urgent orders. Also, check the tab you have selected: Virgin Farms, Dutch, or Seasonal; it may be the case that we do not have inventory for Dutch flowers, but for Virgin Farms, we may. Same-day online orders have a 3:30 p.m. EST deadline. After this hour, the inventory automatically clears.
What does box capacity mean?
We have three box sizes: medium, medium-large, and large. Each box can hold a given capacity of flowers (volume and weight), depending on the size and weight of each bunch. You can purchase as many flowers as you need, and we will accommodate them in one box or many boxes. That’s what sets our company apart—we custom-pack by the bunch.
Do I have to fill the box up to 100%?
Yes, as you add items to your cart, you must fill a minimum of one complete box. If you continue to add more items, the box and percentage meter in the preview cart will change as you fill the next box. For example, you may have 1 large box and 1 medium box. Let’s say you filled a box and your capacity meter showed 100%, but you added a few more items and your meter started over—this means you filled one box size, and now you’re working towards the next box. When the note on the preview checkout cart reads “Box Capacity Met,” you may check out if you are done adding items to your order. Remember to click checkout at the summary page to submit your order.
Refer to How to Order for step-by-step instructions.
I want to ship an order elsewhere, not to my usual address.
Inventory > Enter your shipping information > Ship-To Address (Click the plus sign +)
Shipping Addresses page > Add Shipping Address (top right corner; green button)
Once you’ve added the address, return to the inventory ordering tab and select it from the Ship-To Address drop-down menu.
I want to change my shipping carrier.
You may change your shipping method anytime under Select Carrier on the Inventory page. All methods still ship next-day. Please ask your account manager for truck line schedules (e.g., CalAir, Armellini, Golden Lines). Your addresses will be saved in the Ship-To Addresses drop-down menu next time you order.
What is your product guarantee policy?
Virgin Farms guarantees our product 100%. We will credit you or ship you a replacement at your request for any product issue you may experience. Our reasonable claim policy requires you to notify us of any problems within 48 hours of receiving your order. We understand natural causes or in-transit issues may occur after the flowers have left our facility. Your account manager will assist you in reviewing your claim.
